How to Access Another User’s Outlook Mailbox (Desktop & Web)

Outlook on Windows Desktop App (Outlook 365 or 2019/2021)

Step-by-step instructions:

  1. Open Outlook.

  2. Click on File in the top-left corner.

  3. Select Account Settings, then Account Settings again from the dropdown.

  4. In the Email tab, select your account and click Change.

  5. Click More Settings.

  6. Go to the Advanced tab.

  7. Under Mailboxes, click Add.

  8. Type the name or email of the person who granted you access.

  9. Click OK, then Apply, then Next, then Finish.

  10. Restart Outlook — the shared mailbox should now appear in the left pane.


Outlook on the Web (Outlook.office.com)

Step-by-step instructions:

  1. Go to https://outlook.office.com and sign in.

  2. Click your profile icon (top-right corner).

  3. Select Open another mailbox.

  4. Enter the name or email address of the user who granted you access.

  5. Click Open — the mailbox opens in a new tab.

Alternatively: Once added, you may see the shared mailbox in your folder list on the left side without having to "open another mailbox."
